The Bougie Beach Party Company Rental Agreement and Policies.
📄 Download PDF VersionThese Terms & Conditions (“Agreement”) apply to all rentals provided by The Bougie Beach Party Company(“Company”) to the renting client (“Client”). By reserving and using our services and equipment, the Client agrees to these terms.
Deposit: A $50 non-refundable deposit is required to make a reservation.
Final Payment: The remaining balance is due 5 days prior to the reservation date. If final payment is not received by this deadline, the reservation may be canceled and the $50 deposit forfeited.
Rescheduling Credit: If the Client needs to reschedule, the $50 deposit may be applied once to a new date within 3 months of the original event date, subject to availability.
Booking Window: Rentals can be booked within 5 days of the event if inventory, staffing, and logistics allow; full payment is due at booking.
Chargebacks/Failed Payments: Returned/failed payments or chargebacks result in cancellation and forfeiture of all payments received.
Adjustments (guest count, add-ons, décor, or location) may be requested after booking and are subject to availability and additional fees.
No adjustments may be made within 5 days of the reservation date.
Location changes may incur a delivery fee based on our current mileage/delivery policy as well as staff delivery availability.
Delivering and staging on the Oregon Coast can be complex. Additional delivery or site-access surcharges may apply case-by-case depending on distance, terrain, parking/loading access, and crowd conditions. Any such fees will be disclosed prior to final payment when feasible.
No separate setup/labor fee is charged; setup is included in package pricing.
Client must provide a safe, accessible setup area (flat, reasonably close to access point, free of hazards).
Public Locations & Permits: Client is solely responsible for obtaining any required permits or permissions for public spaces (state parks, beaches, etc.). The Company is not liable for cancellations, interruptions, or fines due to lacking permits or restricted areas.
The Pacific Northwest is unpredictable. Clouds, fog, drizzle, and normal coastal wind are not grounds for cancellation or refund.
Client weather decision window: Up to 5 days before the reservation, the Client may cancel or reschedule (deposit remains non-refundable but may be used once as a reschedule credit within 3 months).
Company safety right: The Company may cancel or modify a setup at any time due to unsafe weather (e.g., severe storms, hazardous gusts, unsafe surf/tides) on a case-by-case basis to protect guests, staff, and equipment.
After final payment (inside 5 days): If the Company cancels for unsafe weather, and the Client does not have an approved indoor backup location, the Client may reschedule within 3 months at no charge (subject to availability).
We are committed to helping Clients have their event and will suggest creative alternatives when possible (e.g., adjusted start time, alternate location, or indoor transfer).
Wind guidance: Bubbles or canopies cannot be used in excessive wind. Determination is case-by-case by the Company on site.
Rental Time: Begins and ends at the scheduled times, regardless of Client arrival. Late arrivals do not extend rental duration.
Overtime: Unapproved overtime is billed at $75 for up to 30 minutes and subject to availability and additional hourly charges thereafter.
Supervision: Client is responsible for supervising children and pets at all times around all equipment.
Smoking/Open Flame: No smoking or open flames in or near any setup. Violation incurs a $100 fee and may require immediate removal of equipment.
Overnight: Allowed only on private property (when offered in your package). Equipment may not be left overnight on public property.
Beach Safety: Client acknowledges responsibility to monitor tides and surf and to follow all posted beach rules. Keep your eye on the ocean—conditions can change rapidly.
Tide Timing: For sunrise/sunset beach setups, the Client must confirm a safe timing and legal access point (the Company may decline unsafe or restricted sites).
Proof of Condition: At end of rental, the Client may be asked to submit a quick photo of the setup to confirm condition. If service is unavailable, the on-site handoff will suffice.
Responsibility: Client assumes responsibility for rented items from setup completion to teardown/start of removal.
Damage/Replacement: The Company may charge for repair, replacement, or excessive cleaning for damage beyond normal wear (spills, broken glass, stains, sand/water damage, etc.).
Prohibited Actions: Do not relocate setups once staged. Do not attach adhesives, confetti, glitter, or décor that may stain/tear surfaces without written approval.
The Company is not responsible for:
Maximum Damages: The Client agrees that the maximum amount of damages they are entitled to in any claim related to this Agreement shall not exceed the total rental price actually paid for the Services before any discounts or promotions.
Loss or Failure of Product: If a component fails despite Company’s reasonable efforts (e.g., technical malfunction), the Company will issue a pro-rated credit or refund based on Services delivered vs. contracted.
Indemnification: Client agrees to indemnify, defend, and hold harmless the Company, its employees, agents, and contractors from any claims, injuries, property damage, or liabilities arising out of the Client’s event, location choice, guests, or misuse of equipment.
Neither party is liable for delays or failures due to events beyond reasonable control (e.g., natural disasters, fires, floods, severe storms, government closures, civil disorder, acts or threats of terrorism).
If such an event occurs, Client may reschedule within 3 months (subject to availability). Refunds are not provided for force majeure events.
If the Company is unable to perform, it will notify the Client promptly and the Client will be excused from further payment obligations, with rescheduling offered per this section.

Changes & Cancellations must be confirmed by phone. We do not accept changes or cancellations via email; we will do our best to reply to email inquiries promptly.
The Company may photograph/record setups for promotional purposes. Clients may opt out in writing prior to the event date. We do not publish identifiable images of minors without guardian permission.
This Agreement is governed by the laws of the State of Oregon. Venue for any dispute shall be Lincoln County, Oregon.
By reserving, the Client acknowledges they have read, understood, and agree to these Terms & Conditions.

These terms apply in addition to The Bougie Beach Party Company’s general Terms & Conditions.
The Client must ensure the setup area is cleared and ready before the Company arrives. This includes moving furniture, rugs, or personal items as needed to create an open, accessible area for staging.
For indoor rentals, the location must be smoke-free.
The Company is not responsible for damage to property or pets if the Client fails to properly secure animals prior to delivery, setup, or pickup. Pets must be secured before the team’s arrival and remain contained until the team has fully departed.
The Company provides full styling of the picnic area, including rugs, pillows, tables, glassware, and decorative elements.
Clients may not attach any décor or signage to Company equipment using adhesives, glitter, paint, confetti, or other materials that could stain or damage surfaces.
Clients may add personal food, beverages, or small table items, provided they do not damage linens, décor, or place settings.
If rugs, pillows, or linens are excessively soiled (e.g., mud, spilled wine, food residue), the Client agrees to pay a $50 cleaning fee.
If any item is damaged beyond cleaning or repair, the Company reserves the right to charge replacement cost up to the total rental value of the package.
This clause does not replace the Company’s general damage and liability terms but acts as a clarification for cleaning and soft décor items.
A Client or designated representative over the age of 18 must be present for teardown and collection of rental items.
If no one is present at the agreed pickup time, the Company reserves the right to photograph the site, remove all items, and document the condition of the setup for verification.
The Client assumes responsibility for any missing or damaged items until Company retrieval is complete.
(Applies to all movie-related rentals, including Basic Movie Night, Classic Dinner & a Movie, Box Office Bubble ect.)
These terms apply in addition to The Bougie Beach Party Company’s general Terms & Conditions.
Client must provide a grounded electrical outlet within 20 feet of the viewing area.
The Company provides one 20-foot outdoor-rated extension cord and completes all setup and connections.
If safe power is not available on-site, the Company may decline to set up or adjust placement at its discretion.
Clients are required to log in to their own streaming accounts (e.g., Netflix, Disney+, Prime Video) on the provided device and log out at the end of the rental.
The Company recommends clients avoid saving passwords or personal information on the device.
The Company is not responsible for Wi-Fi interruptions, buffering, or streaming failures caused by the Client’s internet connection or account access.
Clients may alternatively view offline content saved to a USB drive by inserting it directly into the projector’s media port.
All movie packages are approved for overnight rental on private property only.
The Company leaves the full setup (screen, projector, speaker, cords) in place overnight.
The Client assumes full responsibility for equipment security and protection from weather, pets, or other damage.
It is required that the speaker and projector be unplugged and stored indoors overnight to prevent moisture or animal damage.
Typical pickup time is around 9 AM the following morning, unless otherwise arranged.
Overnight setups are not permitted in public parks, beaches, or unsecured outdoor spaces.
If electronic equipment or accessories are lost, stolen, or damaged (including water, condensation, or pet interference), the Client will be charged the full replacement cost of the affected item(s).
This addendum applies to all Beach Bubble Experience rentals and supplements The Bougie Beach Party Co.'s general Terms & Conditions.
The Beach Bubble Experience is an equipment rental service. The Client is renting use of a bubble dome and accompanying picnic equipment. Setup and teardown assistance is provided complimentary as part of the rental. No commercial event or ticketed service is being conducted. The Client acknowledges that all activity takes place on Oregon public beach and agrees to comply with all applicable beach rules and Oregon Department of State Lands regulations.
The specific beach location and parking instructions will be provided to the Client no later than 24 hours before the scheduled rental time. Location is selected by the Company based on conditions, access, and availability. The Client agrees that location selection is at the Company's sole discretion and that a change in location is not grounds for cancellation or refund.
Rental time begins at the Client's scheduled start time regardless of arrival time. Late arrivals do not extend the rental window. The Client must vacate the setup by the end of their scheduled rental window to allow for equipment turnover.
The bubble dome and all rental equipment must not be left unattended at any time during the rental period. If the Client and all guests need to leave the setup area for any reason, the Client must immediately notify The Bougie Beach Party Co. by phone at (541) 351-8497. The Company requires reasonable time to return and supervise the equipment before the Client departs. Failure to notify the Company and abandonment of equipment may result in immediate termination of the rental and forfeiture of all fees paid.
The Client is responsible for removing all personal items, food, beverages, and waste from the beach area. The Company's rental equipment is to be left in place for teardown — the Client is responsible only for their own belongings. The Client agrees to leave the surrounding beach area in the same condition as found.
Coastal conditions are inherently hard on soft furnishings. The Client agrees to treat all rental items with reasonable care. Excessive soiling beyond normal coastal use — including food spills on linens, broken glassware, damage to cushions or rugs — may result in a cleaning or replacement fee as outlined in the general Terms & Conditions. Sand on rugs and cushions from normal use is expected and is not subject to fees.
Beach Bubble Experience days are confirmed once a minimum booking threshold is reached. Bookings made before confirmation are considered pending. If a scheduled day does not reach the minimum threshold by the Wednesday prior to the event, the day may be cancelled and all pending bookings refunded in full. The Company will notify affected Clients promptly. The $50 deposit is fully refundable in the event of a Company-initiated cancellation under this policy.
The Company reserves the right to cancel or relocate a Beach Bubble day due to unsafe weather, wind, tide, or beach access conditions. In the event of a Company-initiated cancellation, Clients may reschedule within 3 months at no charge. Normal coastal conditions including fog, clouds, and light wind are not grounds for Client cancellation or refund. Wind determination for bubble safety is made on-site by the Company and is final.
The Client acknowledges they are using Oregon public beach and agrees to comply with all posted rules, access restrictions, and Leave No Trace principles. The Company is not responsible for cancellations, interruptions, or access issues caused by beach closures, ranger activity, or permit requirements outside the Company's control.
All guests must be 18 or older, or accompanied by a responsible adult. The Client assumes full responsibility for the safety and conduct of all guests in their party during the rental period.
